Rules and Regulations of the Conference

§1. General provisions

1.1. These Regulations define the rights and obligations of the Participants of the EuroDrying2023 Conference, hereinafter referred to as the Regulations.

1.2. The Conference is organised by Lodz University of Technology, Faculty of Process and Environmental Engineering, based at ul. Wólczańska 213, 93-005 Łódź, NIP 7270021895, REGON 000001583, hereinafter referred to as the Organiser.

1.3. The Conference shall take place at the time, place and form specified by the Organiser. The Organiser reserves the right to change the characteristics of the Conference set forth in the first sentence until the start of the Conference.

1.4. The participants of the Conference may be students, doctoral students, academics, representatives of companies, other persons professionally related to the subject matter of the Conference and representatives of sponsors, hereinafter referred to as Participants.

1.5. The Conference may include scientific and educational sessions as well as an exhibition of companies from industries related to the Conference theme. The detailed schedule of the Conference is available on the website.

1.6. Each Participant taking part in the Conference will receive a certificate of participation in the Conference.

§2. Registration of Participation in the Conference

2.1. In order to participate in the Conference, the participant is obliged to register and timely pay the fee in the due amount to the account indicated on the Conference Website.

2.2. The conditions of participation in the Conference are as follows:

2.2.1. Submitting a declaration for participation in the Conference by completing the registration form available on the Conference Website or by sending the registration form to the Organiser’s mailing address (Lodz University of Technology, Faculty of Process and Environmental Engineering, at ul. Wólczańska 213, 93-005 Łódź) or by declaring the will to participate in the Conference at the Organiser’s Office or in person at the conference reception desk during the Conference and

2.2.2. Payment of the fee in the due amount by the date specified by the Organiser.

2.3. The time limit for submitting a declaration of participation in the Conference via the Internet Website www.eurodrying2023.p.lodz.pl is the day specified by the Organiser. Registration after this date will be possible at the Organiser’s office and in person at the conference reception desk during the Conference, subject to availability of places.

2.4. The Organiser shall not be liable for incorrect or false data provided by the Participant during the registration for participation in the Conference.

2.5. Submission of the registration application published on the Conference website shall mean acceptance of the provisions of these Regulations, as well as compliance with legal regulations and any other arrangements made between the Participant and the Organiser.

§3. Registering the participant giving a presentation

3.1. Participants, after declaring their will to give their own presentation during a scientific and didactic session, must be previously qualified by the Scientific Committee of the Conference.

3.2. The participant shall report his/her desire to give a presentation during the scientific and didactic session to the Conference Scientific Committee while completing the registration form available on the Conference Website or at eurodrying2023@info.p.lodz.pl by 30 December 2022.

3.3. The rules for the qualification of presentations by the Scientific Committee of the Conference are specified on the Conference Website.

3.4. The arguments and views expressed by the Participants are the opinions of the Participant expressing them and the Organiser is not responsible for their form or content.

3.5. Participants may not express arguments and views that incite hatred or discrimination against any person on the basis of race, culture, ethnicity, religion, ideology or gender. In addition, it is unacceptable to propagate the ideology and symbolism associated with totalitarian regimes.

§4. Fees

4.1. Information on the amount of fees for participation in the Conference can be found on the Conference Website.

4.2. The fee for participation in the Conference should be paid to the account specified by the Organiser. Information about the fees is also available on the Website of the Conference.

4.3. Failure to pay for participation in the Conference within the time limit specified by the Organiser on the Conference Website authorizes the Organiser to cancel the participation application without incurring any liability for damages.

4.4. The Organiser will issue a VAT invoice.

4.5. The payer (addressee of the invoice) is the entity ordering individual services related to participation in the Conference.

4.6. The cost of participation in the Conference, stay and travel, if any, shall be covered by the Participant.

§5. Payment Metohods

5.1. Effects sharing seller: 

  • payment by bank transfer to the Seller’s bank account, 
  • payment for the electronic payment system (Przelewy24.pl), 
  • payment on delivery at the supplier, i.e. for the so-called download. 

5.2. In the case of payment by tax transfer, the payment was charged to the bank account number: 04 1240 6292 1978 0011 1851 1125, IBAN: PL04 1240 6292 1978 0011 1851 1125, BIC: PKOPPLPW. 

5.3. In the case of payments for an electronic payment system, the Customer pays before executing the Order. The electronic payment system allows you to make payments using a credit card or checking a transfer from selected Polish banks.

§6. Resignation from participation in the Conference

6.1. The Participant may resign from participation in the Conference within 14 days from the date of booking participation, but no later than by the start of the Conference. The resignation of the Participant from the participation in the Conference should be made in writing – the Conference resignation form is attached to these Regulations.

6.2. In the event that a Participant resigns from the Conference, the Organiser shall immediately, but no later than within 14 days of the date of resignation, reimburse all fees paid by the Participant to the bank account provided by the Participant.

§7. Complaints

7.1. All complaints of the Conference Participants against the Organiser shall be submitted in writing by registered letter with acknowledgement of receipt to the registered address of the Organiser or by e-mail to: eurodrying2023@info.p.lodz.pl .

7.2. Participants of the Conference may submit complaints no later than 3 days after the end of the Conference.

7.3. After the expiry of the lime limit specified above, no complaints will be considered.

§8. Personal Data

In accordance with Regulation (EU) 2016/649 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data and repealing Directive 95/46/EC (General Data Protection Regulation), please be informed that:

8.1. The controller of your personal data (hereinafter referred to as the “Controller”) is Lodz University of Technology, address: at ul. Stefana Żeromskiego 116, 90-924 in Łódź, represented by the Rector.

8.2. A Data Protection Officer has been appointed at Lodz University of Technology (contact details: e-mail address: iod@adm.p.lodz.pl, telephone number: 42 631 20 39).

8.3. Your personal data will be collected, processed and stored:

a) pursuant to Article 6(1)(b) of the General Data Protection Regulation of 27 April 2016, the data will be processed for the purpose of entering into and performing the contract concluded with you,

b) pursuant to Article 6(1)(c) of the General Data Protection Regulation of 27 April 2016, the data will be processed for the purpose of fulfilling the legal obligation relating to the issuance and storage of documents and invoices for services provided or commissioned by the Controller, the exercise of your or the Controller’s after-sales rights, including for the defence against and in connection with the assertion of claims, and the fulfilment of other legal obligations before state authorities,

c) pursuant to Article 6(1)(a) of the General Regulation on the basis of your separate consent, if granted, the data will be processed for the purpose of sending commercial information.

8.4. Your personal data shall be processed by other entities, including in particular entities providing services for the Controller, e.g. concerning financial settlements, protection of property and persons, accounting, legal, advisory, consulting and archiving services, servicing of IT equipment and computer programs in which the data are collected, any other services supporting the activities undertaken by the Controller in its activity in relation to the performance of contracts concluded by the Controller with third parties or with you, on the basis of legal regulations or separate agreements on entrusting data processing.

8.5. You have the right to request from the Controller access to your personal data, the right to rectification, erasure or restriction of processing, the right to data transfer, and if the processing of your personal data by the Controller is based on your consent, you have the right to withdraw your consent at any time by sending a written communication to the address of the Controller’s Company or the e-mail of the Personal Data Inspector specified in 3.

8.6. Notwithstanding the provisions contained in 6, you have the right to object to the processing of personal data not based on your consent, contract or law. You may lodge a complaint against the Controller’s direct marketing, including profiling and data processed on a different legal basis than the one specified in the first sentence, to the Controller ‘s address or the Personal Data Inspector’s email specified in 3. In the event of a complaint, once your request has been considered, it will not be possible for the Controller to process the personal data covered by the complaint, unless we demonstrate that there are valid legitimate grounds for processing which are deemed by law to override your interests, rights and freedoms, or there are grounds for establishing, asserting or defending claims.

8.7. Your personal data will be stored for the period determined by the Controller, i.e. 10 years, and in the event that you raise an objection to the processing of your personal data, until you have lodged a complaint, which has been taken into account in the procedure specified in 7.

8.8. You have the right to lodge a complaint to the supervisory authority, i.e. the President of the Office for Personal Data Protection, should you believe that the processing of personal data by the Controller is in breach of the law.

8.9. Provision of personal data is voluntary, however, refusal to provide data preventing the execution of the contract may result in the refusal to execute the order/contract.

8.10. The privacy policy is available at https://p.lodz.pl/polityka-prywatnosci.

§9. Final provisions

9.1. In the event that the Conference does not take place due to reasons solely dependent on the Organiser, the Organiser will immediately reimburse the amounts paid by the Participants to the bank accounts provided by them.

9.2. By accepting these Rules and Regulations, the Participant agrees to undergo a non-invasive health check by, among other things, checking the Participant’s body temperature using a non-contact thermometer. The check referred to in the first sentence may take place in the event of an epidemiological risk and therefore a health risk to other Participants. The Participant is also obliged to report to the Organiser’s staff present during the Conference any symptoms he/she observes related to the spread of an infectious disease.

9.3. In the event of a negative result of the health check referred to in 8.2, the Organiser reserves the right to offer the Participant a substitute form of participation in the Conference by providing the Participant with the Conference materials, including digital recordings of speeches presented during the scientific and didactic sessions of the Conference.

9.4. All disputes that may arise from participation in the Conference shall be settled by a court with jurisdiction over the Organiser’s seat, unless the provisions of the generally applicable law provide otherwise.

9.5. The conference is of a closed nature and does not constitute a mass event within the meaning of the Act of 23 March 2009 on mass event safety (Journal of Laws 2009 No. 62, item 504).

9.6. In matters not covered by these Rules and Regulations, the provisions of the Polish Civil Code shall apply.

9.7. The Organiser shall not be liable for Participants’ belongings which may be lost, damaged or stolen during the Conference.

9.8. Participants shall be fully liable for any damage caused by them, both on the premises where any activities related to the Conference take place and in the places where they are accommodated.

9.9. These Rules and Regulations shall enter into force on the day of their publication on the Conference Website.

9.10. The Organiser has the right to amend the provisions of the Regulations. Amendments shall come into force within 7 days of their publication on the Conference Website. However, in relation to pending services, the version of the Rules and Regulations in force at the time of booking by the Participant shall apply.

9.11. The provisions of these Rules and Regulations are an integral part of the Conference Application and apply to all Participants.
